Time Management is nothing but making the best possible use of time to ensure productivity. And who needs time management more than the people at an advertising agency.

Managers and supervisors at any organization especially an ad agency play an important role in coaching time management skills in employees: Their role is not to sit in closed cabins and give orders but to monitor their subordinates and mentor them when needed. Managers must have excellent abilities so they could lead their teams in a way that could be rewarding. The best way to finish work on time is to be on time at a workplace. If you expect your team to reach office on time, you yourself have to be disciplined and follow the same rules so you could set an example. Almost everywhere superiors are given some liberty but one should not misuse his power.

The rules and regulations of a marketing agency are not only meant for subordinates but also for team leaders and supervisors. Managers should adhere to guidelines of the organization themselves for their team members to respect company’s policies.

Managers should make sure that their employees’ work stations are organized. They should go to each of their desks and check whether files and folders have been arranged properly or not and also make sure there are no heaps of paper on their desks. Neat desks bring peace of mind and make their jobs easy as they themselves can’t dictate their colleagues to clear out their work stations, the managers should take the charge.

Administration supervisor should issue notepads, registers, pens, folders etc. to all your employees whenever they need them. You need to make sure that they have access to the office supplies and are not stuck in the vicious cycle of asking for them again and again which wastes their time and energy that could’ve been put to better use.

Delegate tasks and responsibilities according to their specialization, qualification and experience. Design their major responsibility areas after discussing what they are best at so they can take interest in work and complete assignments on time. Set their targets and deadlines from the very beginning so they are aware of the time frame and could prioritize accordingly. Also, make them aware of the goals and objectives of the organization.

Keep a track of their performance. Implement a good reporting system. Give them deadlines and ensure that they finish work within the specified time frame. Appreciate the ones who finish their work on time in the presence of all.

It is essential for the managers to know what their team is up to. Keep a check on what they do the whole day. Motivate them to prepare a TO DO List. Check their task plan and make sure they complete important and urgent tasks as a priority.

Promote various training programs to teach time management skills. Conduct different workshops where employees can be given certain tasks apart from their daily work. Ask them to finish off activities within the assigned time slots. Reward them according to their performance and never forget to appreciate them in front of others, it gives them a boost and they consider your leadership effective.

Listen to their problems whenever they face any. They must not hesitate in sharing with you what’s bothering them. Proper coordination between employees and the team leaders is essential for effective time management. Do not keep tasks pending at your end. Delegate them right away to save everyone’s time.  Give approvals on time and make sure your team members do not indulge in unproductive tasks, such as office politics.

In conclusion, it is really in the hands of a good team leader to ensure timely completion of all tasks.
